General information
- Registration for the EGU General Assembly 2022 is secured via payment of the appropriate registration fee.
- There is no waiving of registration fees except for scientists receiving a Roland Schlich travel support or an EGU award or medal.
- Renew your EGU membership while registering for the meeting to benefit from reduced registration rates.
- The on-site registration fee includes participation in the on-site meeting and a public transportation ticket. The public transportation ticket is valid Monday–Friday, 23–27 May 2022, within Vienna (Zone 100). Please note that this ticket does not cover the transportation to and from the airport.
- The virtual registration fee as well as the on-site registration fee include the participation in the virtual part of the conference.

The registration fees for on-site participation compared to 2019 and for virtual participation compared to 2021 were increased for EGU22. The reason is that a hybrid meeting with all its advantages for the different preferences of our community members bears the side effect that the costs are significantly higher since a similar infrastructure in Vienna will be set up for a significantly lower number of attendees than in the past.
Special notice: To show our support for Ukraine and in accordance with current European sanctions, EGU will not accept any payment of EGU22 registration fees from Russian or Belarusian institutions paid on behalf of researchers based at or affiliated with them. Already paid fees will be directly and completely donated to the UN Crisis Relief Fund for Ukraine.
Virtual registration fees
Early registration rates provide three payment options: (a) by credit card, (b) by PayPal, or (c) by bank transfer. However, if you want to purchase an EGU membership while registering, the payment is by credit card and PayPal only. Standard registration rates are applied after the early registration deadline and until the end of the conference. These rates can be paid online by credit card or PayPal only. However, online registration in advance of the conference is strongly recommended.
Remark on VAT: while on-site registration fees for attendees taking part in Vienna are invoiced with the value-added tax (VAT) of Austria, fully virtual participation at EGU22 has by EU law a different regulation. The prices below are all net prices. The VAT in the invoices and payments will be added as follows and depends on (a) the country of residence of the attendee and (b) whether they apply an institutional invoice to their employer or a personal invoice:
- Institutional invoice for German institutions: 19% German VAT will be added to the net prices given below and the gross amount must be paid.
- Institutional invoice for institutions from EU countries excl. Germany: the institution's VAT ID must be provided. Then, the reverse-charge procedure will be applied. The invoiced amount stays net and the institution is obliged to settle the VAT in their country.
- Institutional invoice for institutions from outside the EU: the reverse-charge procedure will be applied. The invoiced amount stays net and the institution is obliged to settle the VAT in their country.
- Personal invoices, residency Germany: 19% German VAT will be added to the net prices given below and the gross amount must be paid.
- Personal invoices, residency EU excl. Germany: the OSS procedure will be applied. Copernicus will use the VAT rate of the country of residence of the attendee. This VAT rate will be added to the net prices below when issuing the gross invoice amount to be paid. Copernicus will centrally settle these foreign-country VAT amounts with the German authorities.
- Personal invoices, residency outside the EU: this is not possible. Attendees from outside the EU must apply an institutional invoice.

On-site registration fees

Support personnel or additional (non-scientific) attendees
In addition to the scientific attendees, there are two special types of attendees as follows:
- Support personnel and carers of paid scientific attendees, particularly for those with medical or mobility support needs, are free of charge. Their registration can only be acquired by email by 14 April 2022, 13:00 CEST. The full name and email address of the support person together with the invoice number of the registered attendee must be provided. A special registration link will then be sent to the support person.
- Children of paid scientific attendees under the age of 18 are free of charge. Their registration can only be acquired by email by 14 April 2022, 13:00 CEST. The full name of the child(ren), the age, and the invoice number of the registered attendee must be provided. Any attendee under 18 years of age, must be accompanied by a legal parent or guardian.
- Please note: unless for a disability, translators are considered to be active participants and have to pay regular fees (see above). Translators required to support the official conference language (English) do not qualify for medical support exemptions, however translators for people who are Deaf, hard of hearing or who support individuals with different learning requirements do qualify. If you have additional questions please email for clarification.
Disclaimer for on-site participation
- All on-site attendees are obliged to fulfil the requirements to enter EGU22 at the Austria Center Vienna. These include, but are not limited to, evidence of a low epidemiological risk, in particular the vaccination with an EMA-approved vaccine or recovery, as well as the usage of FFP-2 masks, distance measures, and the usage of disinfectants. These regulations might be adjusted from now until the EGU22 starts.
- In order to avoid the spread of COVID-19 and to guarantee a safe conference for all participants, all on-site attendees must agree to strictly follow the hygiene concept of the EGU22 and the rules stated at the time as issued by the Austrian authorities, the congress centre ACV, EGU, and Copernicus Meetings. These regulations and the hygiene concept might be adjusted several times, including adjustments on short notice just before the conference starts. Under this aspect, an on-site participation is at the risk of the attendee. Neither Copernicus Meetings nor the EGU, ACV, or any company providing services for the on-site conference can be made liable for any possible infections, resulting damages to the attendee's health, or any subsequent suffering an attendee might get.
- The contact details of on-site attendees will be recorded for possible contact tracing and must be passed on by Copernicus Meetings to the Viennese authorities in the event of an emergency.
- Possible adjustments to the Austrian requirements for the large event participation and/or the EGU22 hygiene concept might lead to a situation where either an on-site attendee is forced to cancel their on-site registration or Copernicus Meetings as event organizer is forced to cancel it. For such late cancellations due to Austrian travel and/or event regulations, Copernicus Meetings will reimburse the attendee's gross on-site registration fee without an additional cancellation fee. Copernicus Meetings and EGU would not be liable for any subsequent claims for any other reimbursements (e.g. attendee's travel or accommodation costs).
- Due to the unpredictable circumstances, EGU and Copernicus Meetings may decide to cancel the on-site part of EGU22 rather lately and turn the conference into a virtual one. In such case, attendees who acquired an on-site registration for the hybrid EGU22 will be turned into a virtual registration for a purely virtual EGU22. Such attendees will get reimbursement for the difference in registration fees. Even in this case, Copernicus Meetings and EGU would not be liable for any subsequent claims for any other reimbursements (e.g. attendee's travel or accommodation costs).
Instructions for online registration
- Please ensure you have read and understood the cancellation policy on registration conditions as provided on the website.
- All information should be typed in upper and lower case (e.g. Jane Smith).
- Since the reverse-charge procedure is applied to registrations for pure online events, attendees from affiliations within EU countries must provide the valid VAT ID of their institution. Attendees from German affiliations are subject to German VAT taxation.
- You will have the opportunity to review and edit any registration details before the final stage of payment.
- 60 minutes is the maximum time allowance to complete the form before the system times out.
- The current versions of Firefox, Google Chrome, Safari, and Edge are the preferred platforms for use of the forms.
Terms and conditions
General
- Registration must be accompanied by payment. Otherwise, no access (on-site or virtual) is granted.
- Registrations are for the person acquiring the registration and paying the registration fee; registrations are non-transferable.
- Registration for the conference implies the acceptance of the rules of conduct.
- Changes to registration invoices are only possible with regard to the invoice address or order references. Any such claims must be received by Copernicus Meetings no later than six weeks after the last day of the conference. Later requests cannot be considered.
- Changes to the registration rate selected in the finalized registration form, including received invoice, are only possible for unpaid invoices. In this case, the attendee is asked to cancel the registration order and to place a new one through the registration form, including the correct registration rate. Please note that the deadline for early registration also applies in these cases.
- If you either pay for an on-site registration or virtual registration, but later need to change your registration type, please contact accounting@copernicus.org by requesting the change and stating your invoice number. You will receive a full refund of your paid fee and you have to register again at the rate that is valid at the time of your new registration. You can only change your registration type before 14 April, 13:00 CEST, due to the fact that we need to officially report the number of on-site participants that we expect along with details of our hygiene plan.
Cancellation policy
- Registration fees will only be refunded if the notice of cancellation is received by Copernicus Meetings before 30 April 2022. The cancellation fee is €50.
- Cancellations after 30 April 2022 and no-shows are not eligible for a refund.
- There is no reason (including but not limited to illness) for registration cancellation that makes the above-mentioned deadline for cancellations inapplicable.
Disclaimer
By registering, participants acknowledge and consent that during their attendance at EGU22 their contributions to online sessions may be recorded by an official of the conference. This content may be distributed or published at the discretion of the European Geosciences Union. If you do not wish to be recorded, you are required to formally advise the EGU Office in advance.

Please have your ID card and the 2G proof (vaccinated/recovered) available when picking up your name badge. Attendees must first show their ID card and their proof of vaccination or recovery to a security officer in order to get a wristband. This wristband must be worn for the entire conference. After receiving the wristband, attendees must then show their ID card at a registration desk in order to receive their name badge. Entrance to the conference centre requires the combination of the wristband and the name badge.
Please remember that only a name badge pick up will be possible in Hall X5. If you have not registered online by the on-site registration deadline, it will not be possible to still register for onsite participation.
